A printed welcome board and an e-ink guest display solve related, but different, problems. Both can give guests a clear point of reference. The important question is whether the information should stay the same or change with each stay.

Start with the information you want to show

Make two lists before choosing a device or sign. The first contains stable property information: a room identifier, a heading or general guidance. The second contains changing information: a guest’s first name, stay dates, checkout details or the next arrival’s welcome.

That distinction often leads to a mixed approach. A permanent property plaque can identify the building while an indoor display gives the current guest a relevant welcome. You do not need every piece of information to use the same format.

Ask where each field comes from

“Automatically updated” should have a practical meaning for your property. Identify the system supplying the booking, the field used for the welcome name and the source of the checkout time. Decide how a changed booking or early departure should affect the display.

Ask which connections are supported for your setup and what happens when information is missing. A sensible fallback might be an agreed generic property welcome instead of an incomplete guest-specific message. The exact behaviour needs to be specified and tested with the chosen platform and device.

Keep the screen focused on the guest

Show what is helpful for the stay. A personal welcome does not require a booking reference, payment information or a full customer record on display. Consider who can see the screen and how the content changes between guests.

Keep the visual hierarchy simple: property identity, welcome, useful stay details, then connectivity or the guest guide. A display with too much content can be as difficult to use as an overcrowded printed notice.

Confirm the device, not just the visual

Before commissioning a connected display, confirm the actual screen size, enclosure, mounting or stand, power arrangements, connectivity and support responsibilities. Ask what remains visible if connectivity is interrupted and how the owner can check that an update succeeded.

Test the journey between bookings

Use example records to check a normal arrival, an amended stay and checkout. Check that the next guest’s information replaces the previous content at the intended point. Include a missing-data case and agree who receives a task if something needs attention.
