The Airbnb signage checklist: from arrival to checkout

Plan property numbers, parking signs, Wi-Fi information, house rules and checkout reminders with a practical Airbnb signage checklist for hosts.

A useful sign answers a question at the moment a guest is likely to ask it. That might be “Is this the right door?”, “Which parking space is ours?” or “What is the Wi-Fi password?” Start with those moments before choosing colours, materials or a large collection of notices.

For an Airbnb or holiday-let property, the aim is a small, coordinated set of clear information. You can keep the full house manual available while putting the most useful answers where guests need them.

Walk the arrival route first

Approach the property as a first-time visitor. Use the directions you send to guests and look for the point where the next step becomes uncertain. A visible property number may be enough for a street-facing house; a shared entrance may need additional directions to the correct door.

Check the sign from the actual approach, including the angle from a car or footpath. Consider what happens after dark and whether planting, parked vehicles or an open gate can obscure it. Confirm placement and any permissions before arranging a fixing.

Separate permanent information from changing details

Property numbers and room identifiers are usually stable. A guest’s name, stay dates or access window changes with the booking. Treat these as different design problems.

Put stable information on a permanent sign where it makes sense. Keep frequently changing information in a maintained guest guide or a booking-aware guest display. If you place a QR link on a physical sign, decide who will keep its destination working. Changing a web page is different from changing the printed code itself.

Give Wi-Fi its own clear place

Choose an indoor location guests naturally notice, such as a welcome point or desk. Include enough readable information for someone who cannot or does not want to scan a code. Make clear whether the code joins a network or opens a guide.

Do a guest test before approving the artwork: read it at the intended distance, scan the actual printed sample and check the destination on a phone. Repeat the check if the network details or linked page change. Our Wi-Fi sign guide explains the choices.

Keep house rules specific and considerate

Start with the few instructions that help someone use this particular property. Separate a short room notice from the longer booking terms or house manual. A wall of small text is difficult to use in passing.

Use a heading that names the task, followed by a direct instruction. For example, “Parking” is more useful beside a bay than an unexplained symbol. Have a person unfamiliar with the property read the draft and describe what they would do next. If they need a verbal explanation, revise the wording.

Make checkout consistent everywhere

Use the same time and instructions in the booking information, guest messages and physical notice. Keep the requests realistic and check that the cleaner’s handover follows the same schedule. Airbnb’s check-in and checkout guidance also encourages clear arrival and departure information.

Check the complete set before production

  • Confirm property names, numbers, spelling and brand artwork.
  • Walk through each sign’s placement and reading distance.
  • Verify every QR destination and contact route.
  • Agree the material, size, mounting and suitability for the location.
  • Check that repeated information matches your guest messages.
  • Name the person responsible for future changes.
